Other Processes
III. RESIDENCE
1) How is the MAXIMUM RESIDENCE RULE waived for BLIS?
Maximum Residence [787th BOR meeting, Sept. 29, 1969]
The Maximum Residence Rule (MRR) states that students who fail to finish the requirements of a degree
program of any college within a prescribed period of actual residence shall not be allowed to register further
in that college. Under meritorious cases, extension of residency may be granted. The faculty of each college
shall designate the approving authority for such extensions. Each extension granted shall be reported to the
Chancellor through the Vice Chancellor for Academic Affairs.
Undergraduate Students
The MRR states that students who fail to finish the requirements of a course of any college within a period of
actual residence equivalent to 1½ times the normal length of the course concerned shall not be allowed to
register further in that college. Thus, the prescribed years to finish a degree program for the undergraduate
level are as follows:

2) How is the MAXIMUM RESIDENCE RULE waived for MLIS?
The regular period of completion for a graduate degree is 5 years, with a maximum residence of 10 years.
Residence includes leave of absence (LOA), and absence without leave (AWOL).
After 10 years of residence the student should appeal for extension of residence to be reviewed by the Committee on Student Admission, Progress, and Graduation (CSAPG) via the endorsement of the SLIS College Secretary’s Office. The appeal is addressed to the OUR, and justifications for the waiver should be accompanied by proper relevant documents.
Applications are submitted to the SLIS OCS in advance of CSAPG meeting schedules as shown in the regular academic calendar.
Any graduate student who fails to complete a graduate degree within the regular period of 5 years shall take additional graduate LIS courses during the extension at a rate of 3 units for every 2 years of extension or a fraction thereof (UPD General Catalogue 2004-2010, p. 22).
3) How is ENROLLMENT FOR RESIDENCE* processed?

* Students who have finished all their course work and are just working on their thesis may enroll for residence. Similarly, students who are not enrolled in any subject but who want to complete an “Inc” or
remove a grade of “4”, must also enroll for residence.
Registration for residence should be done during the regular enrolment period.
The residence work referred to must be done immediately prior to graduation in the following cases: [Art. 408; amended at 1082nd BOR meeting, Dec. 16,1994]
• Transferees from schools other than the University of the Philippines.
This residence requirement is in addition to completion of at least 50% of the
required units for the course.
• Students who have been readmitted after being absent without official leave
IV. GRADUATION
4) How is GRADUATION processed?
4) A student who has successfully completed all academic and other requirements prescribed for a degree program is awarded the degree by the BOR upon the recommendation of the faculty. [Art. 404; 870th BOR meeting, Mar. 24, 1976]
Graduation Requirements
Students must file a formal application as candidates for graduation with the Office of the Dean of their respective colleges. They shall be recommended for graduation by the faculty of their respective colleges after having satisfied all academic and other requirements prescribed for graduation.
SLIS Students are advised to submit this Application for Graduation Form upon enrollment in --
BLIS: LIS 199 & LIS 200;
and MLIS: LIS 299 & LIS 290/300.

During the first three (3) weeks after the opening of classes in each semester, each Dean or the duly authorized representative, shall certify to the University Registrar a list of candidates for graduation at the next commencement. The University Registrar, in consultation with the chairs of divisions or departments concerned, shall then inquire into the academic records of the candidates to ascertain whether any candidate in such a list has any deficiency to make up and whether s/he has fulfilled all other requirements to be a candidate for graduation. If there is any question regarding a candidate, her/his name should not be deleted from the list of candidates for graduation, but a footnote to that effect should be made.
